Off Campus Services
Off-Campus Services has strong links between its own production
arrangements for external course materials, package contents control,
printing external materials, storage/stock control and dispatch to external
students for UniSA, UniSA College, OUA and Flinders.
Role of Off-Campus Liaison Officer
- Develop and maintain a production and distribution schedule to all schools for all external courses to facilitate and influence efficient and effective planning, resourcing and execution of the materials delivery.
- Provide university staff with relevant information regarding processes required for external delivery, including reminders to submit package manifests and print products.
- Manage the online manifest submission instrument and the product coding system including the input of the data in Mercury which is the dispatch database software (Products linked to myUniSA-Class enrolment)
- Arrange reprints of external products from the Package manifest form. Order additional copies if stock is low.
- Prepare reports to schools regarding progress of external products to ensure successful dispatch.
- Assist, where required, with the updating of print publishing resources.
- Provide support to university staff and students for external production.
Role of Dispatch Officer
- Management of dispatch database with functions including stock management, inventory control, tracking and generating dispatch/product reports.
- Duplication (additional) ordering and the development and maintenance of systems with Document Services for timely and accurate receipt of stock.
- Check daily downloads of students enrolling.
- Dispatch of products to external students and clients.
- Assist students/university staff via email/phone regarding dispatch queries/delays.

Key information for university staff requiring external dispatch of print study material
Package manifest submission
[Submit 24 hrs before you develop your Course
Outline as OCS must assign a code for you to include in your CO]
An online Package manifest form needs to be submitted when you receive an
email for external delivery from OCS.

- From the MyUniSA portal, select the 'My courses' tab and then select the appropriate course.
- Once you have selected the appropriate course, at the 'Delivery' tab, scroll down to the bottom of the page and click on 'Request external materials dispatch'.
- Select the appropriate study period.
- Select 'Email'.
- Complete the required information for section 1, 2 & 3.
- Select 'Submit'.
You will then be emailed a confirmation. A package manifest code for each document (e.g. Course Outline, Study Guide) will be generated within 24 hours. Use the same process above to access that information. Ensure that each product code is inserted on the last page of each document.
Study Period
On the Package manifest site, Study periods are identified by the Medici term code.

Course Outline (previously Course information)
In 2012 all Course Outlines must be created using the online Program & Course Management System which has replaced the manual creation of the Course Information Booklet. http://www.unisa.edu.au/academicdevelopment/design/materials.asp Dispatch of hardcopy Course Outline must be provided to students by the first class of the course. The Course Outline must also be available online, as an additional option for students.
For fully online courses (no materials to be dispatched) a hardcopy version of the Course Outline must be made available to students on request only. Note: If you request other Study material (e.g. Reader, Study guide) to be dispatched for your course, a Course Outline must also be included as part of the package.

External Printing: Calculating quantities to be ordered for
update/new products

Estimating how many copies to print is imprecise due to variations in enrolments. You can go by past enrolments from the Class list or Current class size and add 25%.
Print deadline
External print products including CDs/DVDs need to reach Document Services 4
- 6 weeks prior to the study period.
