What is EP?

EP is a Cognos solution tool for managers and others who engage in planning and decision making . It utilises web-based technology and provides a platform for institution-wide, real-time conversations about planning and measurement.

This is achieved via a Cognos Planning: Contributor interface which has the look and responsiveness of a spreadsheet but offers a high level of sophistication that spreadsheets cannot match.

Data sets within Contributor represent one version of the truth. Complete and accurate corporate information is captured and modelled centrally then distributed to users who can work simultaneously on the data sets without compromising data integrity.


Who has access?

EP will be deployed to staff whose specific role is to be directly engaged with key annual tasks and new business development plans that are to be supported by activity based costing models. Access is controlled by defining staff as planners or reviewers; this is determined during the development phase of the model. Also, access is strictly limited by the current number of licences available.


Contributor web interface

The interface allows the University to easily engage owners and reviewers in essential planning tasks by collecting data across divisions and geographies. Users can work simultaneously, employing a universal model that combines the responsiveness of a spreadsheet with powerful data collection functionality.

Hierarchy of departments/units (may differ across models). Each hierarchy has assigned owners and reviewers.

2  The user selects a hierarchy. The interface provides information relating to status, ownership and review.
3  Upon selection the model is opened; the format is similar to a spreadsheet. Tabs at the top take users to different parts of the model.
4  Users select a function and enter data to be submitted or reviewed.

 

Who is a planner?

A planner is a staff member who has specific and realistic knowledge about which information determines current and future business requirements. Planners are responsible for entering the data (contribution) into Contributor, which is forwarded to the reviewer. Planners have ownership to enter and edit data. There may be one or many planners.


Who is a reviewer?

A reviewer is a staff member who has the responsibility to approve contributions submitted by the planner. Reviewers have ownership to review and edit, if they have appropriate rights, the data entered into Contributor by the planner. Typically this would be a Head of School, a Director of a Unit or a Pro Vice Chancellor.

EP will be applied to key management planning tasks during late 2004 - 2006.  The following table suggests approximate timelines whereby managers can expect to be using the technology:
