Mailbox Size Limits for Staff
The space available for message storage in your Mailbox varies depending on your position in the University:
| Position | Issue a Warning | Prohibit to Send | Prohibit to Send and Receive |
|---|---|---|---|
| Most University Staff | 150 MB | 175 MB | 200 MB |
|
Chairman of Research Committee Director of Research Unit Manager of Unit Division Manager Head of School Program Director Dean (Teaching and Learning) Dean (Research) Executive Officer to PVC Pro Vice Chancellor Executive Officer to Vice Chancellor Vice Chancellor |
250 MB | 275 MB | 300 MB |
This amount includes any attachments that may exist within messages. When you have filled 75% of the space available, you will be notified by email. If "Prohibit to Send" limit is exceeded you can no longer send messages. This restriction will remain until enough messages have been deleted.
In Outlook, you can see how much space is left in your Mailbox using the following procedure:
- Right-click Outlook Today
- Select Properties for Mailbox - [user name] from the menu
- Click Folder Size...
Procedure for applying for extra email quota (staff only)
Extra space can be acquired in 100 MB increments (staff only), at a cost of $50 per 100 MB.
To increase the size of your Mailbox, email your cost centre manager. The email should contain the following:
- staff member's name
- number of 100 MB increments required
- cost centre code: xx yyyy
Note that cost centre managers may reject requests for increased space.
The cost centre manager can approve the request by forwarding it to the IT Help Desk. The cost centre manager can reject the request by replying to the staff member directly.
A cost centre manager can delegate approval for such requests by sending a message to the IT Help Desk providing details of the person(s) who may approve requests for a specific cost centre. Requests which are received by the IT Help Desk which have not been forwarded by a cost centre manager or approved delegate will be sent back to the sender.
