Guest installation selection criteria
The following criteria are used to select displays to be held within the Hawke Centre’s Kerry Packer Civic Gallery:
- The subject matter and content are in keeping with the themes of the Hawke Centre: Strengthening our Democracy – Valuing our Diversity – Building our Future
- Content is presented in a clear and distinct way, with narratives that place it in context and explain its relevance
- The display must be fully funded
- Acceptance is at the discretion of the Director, Hawke Centre
To be considered for a display within the Civic Gallery, please complete the Exhibition Briefing document which will request information including:
- name/contact details of the applicant(s)
- the display name
- description of display and how it links with Hawke Centre themes – max 100 words
- proposed dates of the display and any launch (if appropriate)
- type of exhibition / size, format and materials to be used
- all parties involved in the preparation of the display / supporters
- description of the organisation or biography of individual(s) involved in the display
Proposals for displays within the Civic Gallery are approved by the Hawke
Centre Director in her absolute discretion. On approval a written contract will be forwarded for
signing.
The display program is generally finalised 6-12 months in advance. The
Hawke Centre reserves the right to cancel or change exhibition details at any time.
We strongly advise exhibitors to view the space before approaching the Hawke Centre to ensure the space is sufficient for your requirements. Gallery floorplan. Installation requirements are listed on the attached document (pdf format) to assist with exhibitors in the planning of their exhibition display.
Promotion
Please consider in advance of your exhibition the best ways to promote it. Any promotional material must contain the Hawke Centre logo and acknowledgement of the support of the Centre in hosting the exhibition. All promotional material must be approved by the Hawke Centre prior to distribution.
The Hawke Centre can organise media releases to major media and prior
advice in UniSA News, but you need to devote some time to providing
interesting information about your exhibition with sufficient lead time.
Do you have existing media contacts that you could speak with and
set up to visit your display?
Can you supply a high quality photo to be used for promotion and for
inclusion on the Hawke Centre web site?
Also, an e-notice announcing the exhibition, approved by the Hawke Centre,
to go out to your own and Hawke Centre contacts.
Web site
All displays will be promoted via the Hawke Centre web site. Exhibitors are asked to forward all promotional material including visuals which can be used on the web site (jpg format preferred).
Catalogue
Each exhibitor is requested to produce printed information relating to
the display for access by the general public. This may range from a
photocopied information sheet to a full-colour printed catalogue. If a
catalogue is produced which is to be purchased, the exhibitor must organise
staffing and payment facilities within the Civic Gallery. Please discuss
options with the Hawke Centre.
Exhibitors are requested to include the Hawke Centre logo on any catalogue
produced with associated wording: The Kerry Packer Civic Gallery is a
project of the Bob Hawke Prime Ministerial Centre, University of South
Australia. Additional information relating to the Gallery is available from
the Hawke Centre on request. Logos will be forwarded on confirmation of
display.
Catalogues will be archived with the Hawke Centre and selections will be
posted on the Hawke Centre web site.
Printed material must be viewed by the Hawke Centre prior to printing to ensure logo/venue details etc are correct.
Photography
If photography of the display by members of the general public is not
permitted, signs must be placed on all exhibits to inform those viewing
the display, at the exhibitors expense.
The Hawke Centre would like to obtain a photographic record of all exhibits
and therefore will request copyright approval to include photographs of all
exhibits on the Hawke Centre web site with the option for inclusion in
printed material, as required. If copyright approval is required from a 3rd
party, the exhibitor will procure such copyright approvals in favour of
UniSA.
Public access
The Civic Gallery will be open to the public from 9am – 5pm Monday to Friday. It may also be open for public lectures within the Allan Scott Auditorium or Bradley Forum, if requested.
The Civic Gallery is also used for functions, either organised by UniSA or external groups, which may have access to the Gallery at any time. These are generally housed in the southern end of the Gallery (around the quotes) but it is likely that guests will move around the whole Gallery and will be able to view your exhibition.
Gallery specifications
Access
Access to the Civic Gallery is via lifts or the 'white' stairs.
Approximate size of the display space available is 45 sq m. There is also
approximately 25 linear metres of hanging wall space. Walls are painted
white with windows spaced along the east facing wall. Gallery floor is solid
timber.

There are full-length windows at the northern end of the Gallery which
cannot be used for hanging artworks. We strongly suggest visiting the
Gallery before submitting a request for guest installations.
Ceiling height is approximately 4m.
Method of fixing
Displays may either be free-standing or fixed to a portable display units
or hung from the many hanging rails in the Gallery. As floors are solid
timber, care should be taken with portable structures to avoid damage.
Exhibitors are not permitted to put a hole or nails in any wall, or use glue
or double sided tape to affix any works onto surfaces within the Civic
Gallery.
Installation/pull-down
Timeframe for installations will vary but are ideally no longer than 2 working days, with pull-down to be completed within 1 day of the close of the exhibition. Installation and pull-down must occur during office hours (unless prior arrangements are made). A detailed timeframe for installation and pull-down will be negotiated with the exhibitor on confirmation of the display dates.
If the display is coming from overseas, all Australian custom procedures must be followed.
The Hawke Centre is able to provide assistance in the installation/pull-down of displays for one day either side of the exhibition opening dates, if requested. If more time is required, the organiser must arrange all necessary assistance at their own expense.
Audiovisual equipment
The following audiovisual equipment may be made available for displays within the Civic Gallery – subject to availability. Prior arrangements must be made with the Hawke Centre to utilise this equipment. Only Hawke Centre staff or nominated contractors may operate this equipment. Visual presentations must be forwarded at least 1 week in advance to ensure compatibility with system and to allow testing. Videos must be in an wmv format. Powerpoint presentations require a specific screen format - contact the Hawke Centre for details.

Security
The University provides 24 hour security within the campus however there is no dedicated security guard for the Gallery. Exhibitors will display their work at their own risk. Security phones are located within the Civic Gallery in case of emergencies with a direct link to University security guards on duty.
Exhibitor requirements
All persons involved in the design/installation and maintenance of displays within the Kerry Packer Civic Gallery are bound by these terms and conditions.
Insurance
Exhibitors must effect and maintain adequate insurance to cover transit to and from the venue, installation and dismantling as well as for the duration of the display. The display will be open to the general public and while every precaution will be taken to ensure display items are safe, the Hawke Centre and the University of South Australia is not liable for any damage which may occur during the life of the display.
Lighting and power arrangements
The Civic Gallery is well-lit by natural light and has down-lights located at regular intervals. If additional lighting is required, portable lighting structures must be organised by the exhibitor, at their own cost. Power outlets are located at regular intervals in the floor gutter at the base of the wall throughout the Civic Gallery.
Environment
There is general air conditioning throughout the Hawke Building but the Civic Gallery does not have a specific climate controlled environment.
Funding
All costs relating to the display, including insurance, transport, relevant installation and dismantling as required and any launch function, must be covered by the exhibitor.
Copyright
Exhibitors must have all relevant copyright approvals for materials on display.
Damage
The exhibitor must guarantee that the space will be returned in the same condition as it was prior to the display. The exhibitor must make good any damage which may have occurred during the life of the display.
Curatorial assistance
Displays within the Civic Gallery will not be staffed by either the Hawke Centre or UniSA. If the exhibitor wishes to organise curatorial support, it will be their own expense.
Reception facilities
Bookings for any receptions/launches etc to be held within the Civic Gallery during the exhibition must be made via the Hawke Centre. Complete the booking form on the web site with details - charges may be applicable. Full information on function bookings available here.
There are adequate kitchen facilities for a stand-up cocktail reception for approximately 250-300 people within the Civic Gallery - depending on the size of your exhibition. No catering items, glasses/plates etc, are provided. All catering supplies must be organised and paid for by the exhibitor. The kitchen adjacent to the Civic Gallery may be used free of charge, provided the exhibitor undertakes to leave it fully cleaned and tidied after the function. A liquor licence is required for all functions serving alcohol. This must be organised by the exhibitor at their own expense.
There are no restrictions to the use of caterers within the Civic Gallery, however the exhibitor must ensure caterers remove all rubbish and clean the Civic Gallery following a reception.
Exhibitors will be responsible for the acts and omissions of any caterers.
