New Travel Procedures-
The University has appointed the following preferred Travel Service Providers for Domestic and International Travel:
How to change to the Preferred Travel Service Provider:
FS88-
- The Traveller Profile Form (FS88) needs to be completed & submitted on line
- The traveller profile details will be sent to Phil Hoffman Travel to cleanse their current data & Campus Travel to add a new traveller profile to their booking system
- The FS88 also contains an area for your cost centre, it is vital that you submit the correct cost centre. Payments to both PHT & Campus Travel will be created via an electronic upload and this will include your cost centre
FS87-
- The Travel Approval Form (FS87) has been amended with Campus Travel’s details
- The FS87 has to be completed and signed by someone with VC authorisation then either faxed or e-mailed to the travel service provider
- If business Class travel is request, please ensure this is within the Travel Guidelines and that this is appropriately authorised

Critical requirement to organise travel via a Preferred TSP:
Duty of Care - The University has an obligation to know the location of
all staff members travelling on behalf of the University at all times. The
University invested in a system called Flightlock over 2 years ago and this
system is linked to the Travel Service Providers back end booking system.
When the TSP organises a flight on behalf of a traveller, this data is then
captured in Flight Lock and gives UniSA the ability to report on all
travellers at the click of a button. In the event of a natural disaster or
terrorist attack i.e. the Mumbai bombings, we can detect who is flying into,
out of and who is currently on ground. We are then in a position to work
with the TSPs to contact the travellers effected and arrange alternative
arrangements to ensure the safety of all personal. It is important to note
that travel is only captured in Flightlock if booked via a preferred travel
provider i.e. Phil Hoffman Travel or Campus Travel.
