Use of Private Vehicles on University Business
For the University to provide any insurance cover for personal vehicles used for University business, approval must be gained in advance and in writing from the Cost Centre Manager.
This approval is to be made in accordance with the University’s transportation procedures 2.1.3. which states that use of private vehicles can only be approved by the Cost Centre Manager if the use of pool vehicles, taxis, government hire vehicles [Hughes cars] are not available or appropriate.
If you hold comprehensive insurance on your private vehicle, you must first make any claim against your own insurance policy. The University policy then covers you for your excess and loss of no claim bonus as appropriate. If you do not hold insurance on your private vehicle the claim is placed wholly against the University's policy.
Written Cost Centre manager approvals will need to contain the following details:
- Name of staff member/owner of the vehicle.
- Registration number and brief description of the vehicle.
- Dates of approved use for UniSA business.
- Confirmation that the vehicle is appropriately registered and insured.
- That approval has been granted in accordance with transportation procedure 2.1.3.
Written approvals should be submitted to the insurance office prior to the vehicle‘s use so that appropriate insurance arrangements can be made. Please allow 2 working days for confirmation of cover.
In giving approval for use of private vehicles the Cost Centre Manager is assuming responsibility for the following costs:
- Any additional insurance costs to add the private vehicle to the University’s insurance.
- Any excess deducted in the event of a claim.
