Mailroom
locations and contacts
Mailrooms will continue to remain on all campuses however they will no longer have a dedicated service provider (mailperson).
However, if you experience any issues with the mail services please contact Bev Forgan, Operations Coordinator City East on 8302 1261 or via email bev.forgan@unisa.edu.au

Mailroom procedures
Mail services operate on each campus within the University to facilitate the delivery of mail to the University and for postal services outside of the University.
University business
Only mail directly related to University business shall be dispatched at University expense.
Personal mail
Personal mail can be sent via the external mail services only if it has the correct postage and includes the sender’s details. University envelopes should not be used for sending personal mail.

Internal mail
Internal mail (and also inbound Australia Post) will be delivered by courier to the GPO where it will be sorted by campus and by Internal Post Code (IPC please refer below) prior to being despatched to the relevant campus via courier in the next delivery. For example Internal items posted by AM collection will be delivered in the PM delivery. Items posted by the PM collection will be delivered in the next AM delivery.
It is preferred that staff use the yellow internal transmission envelopes when forwarding mail between campuses.
Staff can order stocks of B5 (small) and B4 (large) internal transmission envelopes by emailing Document Services at dsc.mail@unisa.edu.au. Cost Centres are not required.
Surplus re-usable internal envelopes can be returned to the Mail Rooms located at City East, City West and the Magill campuses.
Internal Post Codes (IPC) and Location Bar Codes
To assist with the accurate and efficient delivery of internal and inbound Australia Post mail, Units/Divisions/Schools and Research areas will be issued with an Internal Post Code (IPC) and also a Location Bar Code. The IPC is specific to, and identifies each areas individual mail point. The IPC will consist of a campus identifier (eg MLK) and a two digit mail point code (eg 28). The requirement to utilise IPC's will not necessarily be enforced however mail users are encouraged to utilise their IPC to expedite the mail delivery process.

External mail – including mail categories
External mail is managed via special Australia Post bags through your Unit / Division / School or Research area. Only mail directly related to University business shall be dispatched at University expense.

Addressing external mail
All envelopes and packages should be addressed to include the following:
- Company name
- Recipient’s name
- Address
- Suburb State Postcode
Apart from the destination address all external mail should have the name of the sender and their IPC (Internal Post Code) in the top left hand corner of each envelope or package.
Incoming University correspondence
The mailing address for all University correspondence is:
- University of South Australia
- GPO Box 2471
- ADELAIDE SA 5001
However you may also include your IPC (Internal Post Code) when forwarding your University address details:

Please be aware there may be a delay in the delivery of mail when mail is incorrectly addressed.
UniSA postage paid envelopes
External mail sent via UniSA envelopes marked ‘Postage Paid’ must be posted via the Special Australia Post Bags (SAPS). Financial penalties apply to external ‘Postage Paid’ envelopes not posted via the SAPS
UniSA envelopes must not be used for personal mail.
UniSA reply paid envelopes
Units / Divisions / Schools and Research areas who require reply paid envelopes for responses to surveys, questionnaires etc will be required to contact the FM Assist, City East Team on ext. 22261. Cost Centres will be charged accordingly.
Other Mail Services (Express, Registered, Customs Declarations, Post Packs etc)
To place an order for supplies please contact the UniSA Australia Post Helpdesk on ext.21879 or telephone 1300 926 694. Items will be delivered directly to your IPC. Please quote your IPC and cost centre when placing an order.
Personal mail
Personal mail can be sent via the special Australia Post bags provided that it has the correct postage and includes the sender’s details. University envelopes must not be used for sending personal mail
Personal mail incorrectly stamped will not be processed by the Adelaide Mail Centre. It will be returned to the UniSA mailroom and then returned to the sender.
Mail categories for mail within Australia
Letters
The following are the sizes for standard and large letters processed by Australia Post that are automatically carried by Airmail
- Standard letter
- Maximum size: 240mm x 130mm
- Maximum thickness: 5mm
- Maximum weight: 250 grams
- Large letter
- Maximum size: 360mm x 260mm
- Maximum thickness: 20mm
- Maximum weight: 500 grams
Parcels
The following are the guidelines for sending parcels within Australia
- Small parcels
- Size: Up to 250 grams (same price Australia wide)
- Up to 500 grams (same price Australia wide)
- Large parcels
- Size: Over 500 grams (priced by destination) to a maximum of 20 kilograms
- Parcels will normally be sent surface mail and delivery times are as listed as a guide only.
- Within South Australia – 1 to 2 days
- Interstate – 2.4 days
- All parcels need to include the following details:
- Senders name
- IPC (Internal Post Code)
- Cost Centre
- All Parcels need to be packaged appropriately and tied with twine, strapped with plastic tape or heat sealed. Please do not use staples.
- Parcels should not be sent via Australia Post Airmail as this service is not cost effective. If it is essential that the parcel be sent via air please use Australian Air Express.

Courier service providers
Metropolitan Area
In providing a personalised service, staff will now also have the option of booking a Messenger Courier Service Online at www.messengerpost.com.au. Items to be couriered can be collected from your area.
For courier enquiries or to set up an account please telephone 13 13 20 then press option two (2) to speak with a Messenger Customer Services Officer.
Services include

Half day: Book by 11:45 am for same day delivery

Normal Service: Pick up within 2 hours for same day delivery

VIP Urgent: Pick up within 1 hour and deliver direct
Messenger Post Courier bookings can also be made by contacting FM Assist on your local campus. Staff may prefer to contact Messenger Post direct however you will need to contact FM Assist in the first instance. FM Assist staff will provide you with the Messenger Post Client Code details.
Staff will also be asked for cost centre details at the
time of booking.
Australian Air Express
There will be no change in the process for organising an Australian Air Express delivery..

How to package your mail
All postal articles of every kind, especially parcels, must be packaged in such a way as to:
- Prevent injury to any person handling the articles;
- Prevent the contents escaping and causing damage to other articles
- Prevent damage to equipment and vehicles during carriage, particularly aircraft;
- Protect the contents from handling stresses and pressure during carriage through the post;
- And protect the contents from the effects of climactic conditions, changes in atmospheric pressure due to air carriage, extremes of temperature, etc.
Parcels which are too large for the internal mail service may travel separately in the mail system
Parcels need to be:
- Tied with twine, strapped with plastic or heat sealed
- Staples should not be used
Parcels are not to exceed 20kg
Internal parcels need to be addressed as below:
- Recipient’s name
- IPC (Internal Post Code)
And include:
- Sender’s name
- IPC (Internal Post Code)
