Functions and Facility Hire
Functions held on University Grounds
Any function held on University Grounds requires the approval and
authorisation of the relevant Campus Facilities Manager prior to the event
being held.
Staff Functions
A CS53 Staff
Function Approval Form is required to be completed and submitted to FM
Assist (formerly Campus Services) at least 30 days prior for the
following staff functions.
1. All social functions held within University grounds for staff (e.g. staff barbecue)
2. Any official University function conducted by a Division/School/Unit (e.g. Orientation activity/Conference/Launch).
It is imperative that details of high profile guests who will be in attendance is documented on the CS53 Staff Function Approval Form.
Staff that wish to consume and/or keep alcohol on University premises must seek authorisation from the relevant Campus Facilities Manager. A Limited Licence will normally be required for Division/School/Unit functions where the alcohol is not being provided by a Licensed caterer/business. The Application for Limited Licence (Liquor Licencing Act 1997) needs to be submitted with the CS53 Staff Function Approval Form to the Campus Facilities Manager for authorisation and forwarded to the Office of the Liquor and Gambling Commissioner at least 14 days prior to the event.
Functions will NOT be sanctioned without the approval of the Campus Facilities Manager and the Office of the Liquor and Gambling Commissioner (where applicable). The Limited Licence must be provided to FM Assist before final approval of the Function will be confirmed.
Where representatives/sponsors/exhibitors have been invited to attend a function a CS63 University Function - Representative-Sponsors-Exhibitors on University Grounds form must also be completed and submitted with the CS53 Staff Function Approval Form. It is the responsibility of The Head of School/Unit/Division to certify that a background check has been completed to confirm the Representative/Sponsor/Exhibitor is legitimate and does not conflict in any way or form with the University of South Australia.
Student Functions
Student Groups, Clubs and Societies who wish to hold a function on
University grounds are required to complete a
CS12 Student
Group-Club-Society Function Approval form and submit to FM Assist
(formerly Campus Services) for approval at least 30 days prior to the
function..

Where alcohol is to be consumed a completed Application for Limited Licence (Liquor Licensing Act 1997) (Refer: http://www.olgc.sa.gov.au/default.asp?action=limited_licence&menu=liquor\) must accompany the CS12 Student Group-Club-Society Function Approval form and be submitted to FM Assist for authorisation by the relevant Campus Facilities Manager. Please be aware applications for a Limited Licence must be lodged with the Office of the Liquor and Gambling Commissioner at least 14 days prior to the date of the function. A Limited Licence may not be required for functions where the alcohol is being provided by a Licensed caterer/business. FM Assist staff will be able to advise.
The issue of a Limited Licence by the Office of the Liquor and Gambling Commissioner may stipulate security/crowd control as a requriement. The Campus Facilities Manager will assess the application and may also deem security/crowd control a necessity. If Security staff are required this will be arranged by FM Assist and the cost will be borne by the Student group/applicant.
Under no circumstances can it be assumed that University of South Australia Security staff can be used or referred to as crowd controllers for planned events/functions.
Where
Representatives/sponsors/exhibitors have been invited to attend a
function a CS56
Representative-Sponsors-Exhibitors on University Grounds form must also
be completed and submitted with the CS12
Student Group-Club-Society Function Approval form. It is the
responsibility of UniLife to certify
that a background check has been completed to confirm the
Representative/Sponsor/Exhibitor is legitimate and does not conflict in any
way or form with UniLife or the University of South
Australia.

Use of
Barbecue Facilities
FM Assist (formerly Campus Services) is responsible for the management and bookings for the Barbecue Facilities on each of the University campuses. These facilities are available for use at no cost to:

staff,
-
Student Groups/Clubs/Societies who are affiliated with the University of South Australia Students Association,
-
Student user groups that have the approval of their Head of School
There is a minimum charge for the use of these facilities to non affiliated
student groups and external hirers.
If you are a student and wish
to book the barbecue facilities you will be required to submit a
CS12 – Student
Group/Club/Society Function Approval form to FM Assist via Campus Central for approval. It is recommended the
CS12 Student
Group/Club/Society Function form be submitted at least 1 week prior to
the event.
Staff who wish to book the
barbecue facilities are required to submit a
CS53 Staff
Function Approval form to FM Assist for
approval. It is recommended the CS53 Staff Function Approval form be
submitted at least 1 week prior to the event.
It is imperative that all users
have read the
Electric Barbecue Usage Agreement and the Food Act 2001 to meet the
requirements of the Australian New Zealand Food Standards Code. Please refer
to the Department Health website (http://www.dh.sa.gov.au/pehs/Food/food-charities.htm).
If permission to consume
alcohol is required, you must complete the relevant section on either the
CS12 or
CS53 and
forward to the relevant Campus Facilities Manager. An Application for a
Limited Liquor Licence may also be required to be submitted to the Office of
the Liquor
and Gambling Commissioner at least 14 days prior to the event for approval,
you will also need to ensure that you allow the relevant Campus Facilities
Manager sufficient time to approve this request. For further information on

Locker Hire
The Facilities Management Unit via FM Assist
provides a Locker Hire service for UniSA Students on each of its campuses.
The Locker Hire Period is annually, January to December and lockers are
allocated on a first come first served basis.
Students must complete a
CS62 – Locker
Application Form and present at Campus Central for payment. The 2008
Locker Hire fee is $5.00 per year with a $15.00 refundable key/combination
lock deposit which is to be paid at the time of application.
